Fiscal Accounting – Full Service bookkeeping

Fiscal Accounting:

  • Assist with preparation of the annual budget in accordance with the declaration and Florida Statutes
  • Receipt and posting of individual member dues and special assessments to individual account records
  • Account ledgers for each homeowner
  • Assist with collection of past due accounts including contacting delinquent owner to help work out payment plans. Liason with association’s attorney to help keep legal matters moving along swiftly
  • Prepare and distribute monthly financial statements and supplemental reports detailing expense variances, money collected, expenses, outstanding dues and invoices
  • Monthly reconciliation of all bank accounts
  • Preparation and mailing of notices and letters as directed by the board
  • Prepare, maintain and distribute payroll for association employees
  • Process invoices and pay invoices subject to availability of funds and board approval
  • Assist with annual audit or other year end financial reports of the association
  • Maintain all financial records in accordance with GAAP (Generally Accepted Accounting Principles)

 

Administrative:

  • Attend Board Meetings to review and help implement operations and goals. Record and transcribe minutes, assist with preparation of meeting packages, including agenda, minutes, financials, Manager’s Report and letters from owners
  • Maintain files for common area repair expenditures, minutes, correspondence, etc.
  • Maintain and keep updated a list of all homeowners and mailing addresses
  • Prepare and mail all necessary correspondence, such as letters, newsletters, late notices and minutes
  • Assist with preparation and distribution of association’s newsletters. Distribution includes hand delivery to each unit, including tenants if board requests to keep them up to date on the community rules
  • Enforce the rules and regulations and handle violations as directed by the board and as stated in the governing documents for the association
  • Architectural control and enforcement as per the board and association documents
  • Assist with maintenance of your community website or add your community link to Sea Breeze website for forms, etc. Or add your association to the Sea Breeze website

Site Management:

  • Perform on-site visits/inspections and follow up as needed with owners, vendors, board, tenants and others
  • Organize and establish a liaison for repair work as directed by the board of directors
  • Make recommendations for short, medium and long term maintenance and goals
  • Assist with bid specifications and bidding for common area maintenance and reserve projects
  • Collaborate with consultants, contractors and engineers hired by the association
  • Recruit, hire and train all association personnel as directed by the board of directors.
  • Assist board with contracts and services, including utilities, building services, auditing, fire equipment and any other contract services that are needed
  • Assist with processing of insurance claims for the association
  • Provide the board with regular summary updates of the day-to-day activities of the association and assist with checklist for employees
